Privacy policy

This policy explains how Urban Youth Conservation | The Urban Conservation and We Educate Brilliant Minds use information collected through the HBCU Twin Cities summit website.

Information you provide

Forms collect your selected category, name, email, optional mobile number, registration purpose, questions, and communication preferences. Depending on your category, we also collect school or organization information, student interests, HBCU knowledge level, group plans, visit requests, alumni preferences, or proposed partnership interests. Parent forms include the student’s name and high school. Ordinary registration forms do not collect grades. The optional Early Application Profile separately collects your selected HBCU, birth date, address, enrollment plans, self-reported education and optional GPA or scores, experiences, essay, support interests, signatures and consent records. Do not submit Social Security numbers, health records, financial account information, passwords or immigration documents.

How we use it

We use this information to plan attendance, respond to questions, coordinate school groups and requested institutional visits, understand school interests, manage alumni invitations and volunteer interest, and discuss institutional and sponsorship participation. We use your communication preferences to determine which optional event updates you wish to receive.

Who can access it

Registration records are available to authorized organizers, including Stephen, Tracey, and Ferome. Website hosting and Google Sheets support processing and storing records. Information is not published in a public attendee directory. We do not sell registration information. We do not provide student or parent contact lists to HBCUs or sponsors through this website. Early Application Profiles may be shared with the one HBCU selected by the applicant only under the explicit permission and signature recorded on that form; applicants under 18 require parent or guardian approval. Profiles are received by organizers for review and forwarding, not sent automatically to colleges. This permission does not authorize sponsor or public sharing.

School and alumni requests

Listing schools of interest or requesting a visit does not authorize us to share your personal contact details with those institutions. Alumni notifications may describe that others from the same school are participating; individual names and contact details will not be disclosed without permission. Checking an alumni invitation or volunteer box records your interest and does not confirm an invitation, assignment, or reservation.

Email and mobile updates

Optional email and text preferences are separate from registration. Giving a mobile number does not by itself consent to texts. If text messaging is activated, it will be for summit-related updates; message frequency varies and message and data rates may apply. The first-run site records your preferences and does not send automated text messages. You can request that updates stop through the contact form. You can also use any unsubscribe method supplied in future messages.

Students and children

Student self-registration is for people ages 13 and older. Children under 13 should have a parent or authorized adult use the appropriate adult form. We do not knowingly collect self-submitted information from children under 13. An adult submitting information about a student should be authorized to do so.

Sign-in and technical information

HBCU and sponsor portals use ChatGPT sign-in. We receive a site-specific user identifier and account email to protect those forms and associate submissions with the signed-in account. The hosting service may process connection and security logs and authentication cookies. This site does not add advertising trackers or use browser storage for attendee records.

Keeping information and protecting it

We retain information needed for event coordination, responses, and follow-up, and review it after the summit for deletion or continued retention where there is a legitimate ongoing purpose. Any continued optional outreach follows your recorded preferences. Access is limited to authorized organizers and service providers. No internet service can guarantee absolute security.

You can ask to review, correct, or delete your registration information, withdraw optional communication consent, or ask a privacy question using the form below. Choose your category, select “Ask a question,” and state what you would like us to do. We may need to verify your identity before changing or disclosing a record.
